Boardroom and meeting room sweeps

A boardroom is the most predictable target in any organisation. The sensitive discussion happens in a known room, on a known schedule, which is everything someone needs to listen to it.

// Pre-meeting protocol
  • Swept before the meeting not weeks earlier, so the result is current when it matters.
  • Sealed where required with controlled access and tamper indicators between sweep and session.
  • Full detection stack RF, GSM, non linear junction detection, optical and thermal.
  • AV and conferencing equipment inspected as part of scope, since it is already wired for audio.
  • Discreet attendance outside hours or presented as AV contractors.

Why a sweep is only valid for a window

A room swept on Monday and used on Friday was secure on Monday. Anyone with access in between has had four days to change that. For routine assurance that is an acceptable risk. For a board meeting deciding a transaction, it is not.

The stronger protocol is sweep, then seal. We clear the room, then it goes under controlled access with tamper indicators applied to doors and service panels, and an access log for anyone entering. If the seal is intact when you arrive, the sweep still stands.

The AV problem

Modern boardrooms are already full of microphones. Conference systems, ceiling mic arrays, video units, soundbars and room controllers all legitimately capture audio, and most connect to a network.

This creates two issues. A covert device hidden among legitimate AV is far harder to spot, because unusual electronics are expected there. And the legitimate equipment itself may be configured in ways nobody has reviewed, with recording enabled, cloud storage attached, or vendor access retained from installation.

We inspect installed AV as part of the sweep and flag configuration issues alongside anything covert.

Fitting around the schedule

We work to your calendar, not ours. That usually means the evening before or early on the morning of the session. Where a room is in continuous use we can sweep during a scheduled break, though a sealed overnight sweep is always the stronger option.

For organisations with regular board cycles, the sensible arrangement is a standing engagement tied to the meeting calendar so it happens without anyone having to remember to book it.

// FAQ

Common questions

How soon before a meeting should the room be swept?
As close as practical, ideally the evening before or the morning of, with the room sealed afterwards. A sweep is a point in time result, so the shorter the gap between sweep and session, the stronger it is.
Can you sweep while the building is occupied?
Yes, though after hours is preferable. If a daytime sweep is required we can attend presented as AV or facilities contractors so it does not attract attention.
Do you check the video conferencing equipment?
Yes. Installed AV is inspected as part of scope, both for covert devices concealed among it and for configuration issues such as retained vendor access or unreviewed recording settings.
What is a sealed room protocol?
After the sweep, the room is placed under controlled access with tamper indicators on doors and service panels and a log of anyone entering. It preserves the validity of the sweep through to the meeting.
